Saving Time Writing Letters

Word has a lot of features that can save you time in the workplace.

Ever thought you spend a lot of time in the workplace typing out the same things over and over?

There are a number of features that can help you save time and frustration.

Autotext

Simply highlight what you have written and hit the autotext button. This keeps it so you can use it whenever you like rather than retyping.

In Word 2007 you may need to add it in. Go to the Office button, click on the word options. Under customise, you can add buttons to the quick access toolbar. You will need to look at all the commands to find it.

Autocorrect

This makes the change as you go. Say you work in a restaurant. You need to do up quick menus from the range of normal options. Add them to your autocorrect and then all you need to do is type, say E1 for entree one, and up it pops. You can even pre-format it.

Macros

Used to be programmer’s country, but now, macros are as easy as just doing it once and recording what you are doing and then get the computer to do it again whenever you hit the button. If you don’t know how, type record macro into help and it gives you the steps.

Templates

You can use the built in templates that come with word, or make your own so all the normal things are always there and you just need to change the small stuff. Simply go File Save as and chose template. Then it is ready to go.

To use a template, go to File – New and then chose the template you need.

Is an auto text not the same as a template?

Good question.

Not really, a template gives you an outline, sets up the page so you don’t have to waste time formatting and adding in all the things you normally have in a document. It lets you do the same type of document, say a letter, over and over again.

Autotext is about adding content across a variety of documents. You may use the same sentence or phrase in a dozen different documents.
