Book storage and article storage for frequent access is a skill you must possess to make the most of the books and articles you read. Let’s start: most of your articles are saved in the HTML extension and almost all the books you have are in the PDF format or DOC.

These are the best extensions for each file, however there are better formats, you are not going to spend time changing them all. Right now all you want is an easy way to keep track of all the information files you use frequently. First thing is to place them all in the very same folder. Then you will create a subfolder for each file format and then you will place each file on it’s folder.

Depending on the number of files, the method to reach them will be different. If the total number of files is 100 per folder, then you need no additional tools. Just open each folder, all the files are sorted and categorized by letters or by size like you prefer and then just read the title and click on the right file.

However this is not the case most of the times. The number of files rarely is below 1000 which means: search tools. If you have windows vista, the windows search tool on each folder is already god enough, no need to use any aditional tool. However if you are using Windows XP you might want to give X1 a try. It costs 50$ but it’s worth every penny. This tool is so good that ever let’s you preview the files inside X1, but you are advised to have a very big screen to make the preview bigger or near the original size.

As the number of files increase you might want to give the search tools a little more attention. In X1 you can save searches thus you save headaches, patience and time, just save the searches you use the most and these searches will act like a folder, you click on it and the search starts automatically. I can’t wait for the day these tools will automatically show the most used keywords in the history panel so we save even more time. Maybe I will make such tool.
