Everyday we are required to manage various files belongs to different categories in our computer system. Good file management practices can avoid issues of retrieving them. If you save all the files in a single location, eventually it will become very difficult for you to retrieve that file. Organizing your data files under various folders with meaningful name can make it more convenient to recover old files.
Many people spend lot of time in retrieving files just because they are ignorant about the feature rich file manager there existing in an Operating System. Instead of saving all the files to the default location My Documents, save them to different folders and sub-folders categorized. Having a good folder structure for your files is very important as far as fast retrieval of old files are concerned. Saving your data files in C: drive is not a good option, as they will be erased if a re-installation takes place in your system. It is better to choose a drive other than C like D or E Drive to save your files.
Create folders or sub-folders before saving files. File manager can be used to create these folders. The tree like structure of the file manager provides you an easy interface to create nested folders. Naming these file folders after the category is required for fast retrieval of files. For example under E: drive you may create a folder with the name personal and a sub-folder under this main folder can be named as medical insurance. This folder can be used to save all your files related with the medical insurance company you have got the policy. The un organized files can be managed by opening two instances of file manager and drag files from one to another. Next time when you save a file, a word or excel file locate these folders and save the file into an appropriate folder or directory.
Sometimes while saving only you realize that there is no appropriate folder exists and you want to create one. It is interesting to note that even from the Save dialog box a folder or sub-folder can be created for saving the new file.
Being systematic in your file management can help you a lot in keeping all the information related to you at your fingertips. It is really helpful when you are searching for an important document that is required in a short period of time.
